It's 9:40pm and you're still on WhatsApp. The Class 10 batch group wants to know if Saturday's test is still on, three parents have asked about the fee instalment, a student sent a blurry photo of a trigonometry problem with "sir pls explain", and the physics teacher just told the staff group he can't take Thursday's slot. Each of these takes a minute. Together they take your evening, and the one parent who asked about the March fee last week still hasn't had a reply.

A WhatsApp AI assistant for tutors should work on the number parents and students already message, not on a new bot they have to learn. Perisclaw does that: it connects to your own WhatsApp or WhatsApp Business app as a linked device and helps you post schedule changes to batch groups, chase overdue fees with individual parents, keep track of doubts you promised to answer, and coordinate teachers. It drafts messages to others in your self-chat and sends them after you approve. Because many of your contacts are minors, read the section on students' data before you connect.

What a WhatsApp AI assistant for tutors handles

Schedule changes across batch groups

Most coaching classes run one group per batch, plus a parents' group or two. When the timetable changes, tell Perisclaw once in your self-chat: "Tell the Class 10 Morning and Class 10 Evening groups that Saturday's test moves to Sunday 10am, same syllabus." It drafts the message for each group and sends when you react 👍.

Before an exam week, a native WhatsApp poll saves a dozen replies: "Poll the Class 12 group: extra class on Wednesday 7am or Thursday 6pm?" Perisclaw reads the votes as they come in and tells you who hasn't answered.

Fee reminders to individual parents

Fee follow-ups are the most awkward part of the job. Keep a Google Sheet of fees, give Perisclaw its link, and update it from chat: "Mark Aarav Mehta's October fee as paid, ₹4,500 by bank transfer." Then ask "which Class 9 students still owe the October fee?" without opening the sheet.

Perisclaw confirming in WhatsApp that it logged entries into a Google Sheet, with a running total

For each parent who is late, set up the chase once: "Remind Mrs Mehta politely about Aarav's October fee on Monday. If she hasn't replied by Thursday, ask again, and tell me if there's still nothing by Saturday." Before it starts, Perisclaw shows you who it will message, how long it waits and when it stops, and it stops when she replies. It never agrees to a discount, a waiver or a new due date without checking with you. Add a hard rule such as "never discuss fee concessions, send those to me" and it checks it before every action. For more on timed messages, read how to schedule WhatsApp messages and payment reminders. This works for a handful of late payers, not every family in the institute.

Homework and doubt messages

Students send doubts at all hours, often as photos of a textbook page or a voice note. Perisclaw reads photos, PDFs and voice notes, and it keeps track of what you've promised: "I'll explain this in tomorrow's class" becomes an open item, and your morning digest brings back the important ones you haven't answered yet. Each chat gets a Needs You, Waiting or Later label in your chat list.

You still teach. Perisclaw can find the question ("what was the integration problem Riya sent on Tuesday?") and remind you to cover it; check any worked answer yourself before it goes to a student.

Staff coordination

The teachers' group is where substitutions and test papers get sorted. Type /claw summarize what's been decided about next week's timetable and what's still open inside the group and Perisclaw answers there. When a teacher drops a slot, hand it over: "Find a teacher to cover Thursday 5pm physics, check with Rohan and Sneha first, and confirm the change in the Class 11 group once someone agrees."

Between classes, one voice note to your self-chat does the admin: "Remind me to print the mock test at 4 and tell the Class 9 group the worksheet is due Friday." It also reads the voice notes parents send, so "what did Kabir's father say in that audio?" gets you the gist in text, translated if you ask.

Students' data: what to keep out

Coaching classes hold children's data: names, numbers, marks, sometimes addresses and medical notes.

  • The law where you teach: India's DPDP Act treats anyone under 18 as a child and requires verifiable parental consent before a child's personal data is processed. Its rules were notified in November 2025, and most obligations, including the ones on children's data, apply 18 months after that, but it's sensible to work this way now. Brazil's LGPD and the EU's GDPR have their own rules for children's data. Perisclaw makes no claim to meet any of them for you. Its security certification is ISO 27001, your data stays in your own isolated, encrypted environment, and it's never used to train AI models.

  • Talk to parents, not children: for fees, marks and behaviour, message the parent. Keep direct chats with young students about class logistics.

  • Block what doesn't belong: say "never read" plus a chat name, or block it under Settings → Permissions, and Perisclaw can't read, search, summarise or quote it. Lock a chat with WhatsApp Chat Lock and it's blocked automatically. Put /ignore in a message you send and Perisclaw leaves that message out.

  • Keep sensitive details off WhatsApp: don't collect ID numbers, medical reports or home addresses by message. Before filing report cards or student photos to Drive, check your institute's policy and that parents agreed.

The same work in Kota, Bogotá and Dubai

Kota: a JEE and NEET institute runs a dozen batch groups and parents who send voice notes in Hindi about test scores. Ask "which parents asked about the mock test results this week?" and answer them in one sitting instead of across the day.

Bogotá: an English academy or a pre-ICFES tutor coordinates classes with parents over WhatsApp, in Spanish. Poll the group on a make-up class time, or ask for the open questions from the parents' audios.

Dubai: IGCSE and IB home tutors juggle families across the city and sessions that move every week. With Google Calendar connected, "what's tomorrow, and which family hasn't confirmed?" gives you the day in one message.

Where a coaching app or the Business API fits better

Perisclaw is an assistant for your own WhatsApp. It isn't a learning platform or a fee system.

Your batch groups, individual fee chases, doubts and staff coordination

Perisclaw

A multi-branch institute can give each teacher their own assistant on their own number with a team plan (being rolled out to accounts), on one bill, and nobody, including the owner, can read another teacher's chats.

Limits on bulk messages

Don't use Perisclaw to message every parent individually. Sending the same message to many chats is what WhatsApp's spam rules target, so Perisclaw stops after 15 chats in one go, tells you who has and hasn't been messaged, and asks before continuing. Posting in your batch groups is the better route for announcements. Adding students to a group is capped at 10 at a time and 20 in one go; for a new batch, it offers the invite link so families join by choice.

Perisclaw connects as a linked device, which WhatsApp didn't build for outside tools, and WhatsApp's help centre warns that linking unofficial apps can lead to a ban. Nobody outside WhatsApp can promise zero risk, so we don't. For more on running groups, read WhatsApp group management tips.

FAQ

What is the best AI assistant for tutors who work on WhatsApp?

If parents and students already message your number, pick an assistant that works on that number. Perisclaw does, and handles batch-group notices, individual fee chases, doubt tracking and staff coordination. For assignments and grading, a classroom tool fits better; for online fee collection, a coaching management app.

Can it send fee reminders to all parents at once?

No. It stops after 15 chats in one go and asks before continuing, because broadcast-style sending can get a real number flagged. Chase the few late payers individually with Perisclaw, and use a fee app or a Business API tool for institute-wide reminders.

Will it reply to students' doubts on its own?

Not by default. It drafts each message in your self-chat and sends when you approve. It's best at tracking which doubts are open and finding the question again; check any explanation before it reaches a student.

Is it safe to use with students' WhatsApp chats?

Perisclaw makes no compliance claim for children's data. Block or lock chats you don't want it to read, message parents rather than young students about anything personal, and check the data rules where you teach, such as India's DPDP Act.
