WhatsApp AI assistant for interior designers: client approvals, site groups and payment milestones

The client approved the kitchen laminate on Tuesday, then sent a voice note on Thursday asking whether the darker one would look better. The carpenter is waiting for a yes before he cuts, the electrician posted twelve site photos in the contractor group with no caption, and the second milestone payment was due when the false ceiling went up last week. Each decision lives in a different WhatsApp chat, and when the client later says "I never agreed to that", you have to scroll back three weeks to prove it.
A WhatsApp AI assistant for interior designers should work inside the client and contractor chats you already run. Perisclaw connects to your own WhatsApp or WhatsApp Business app number as a linked device. It tracks which design approvals are still open and chases them, summarises contractor groups, turns site voice notes into tasks, files drawings and site photos to Google Drive, keeps a milestone sheet current and finds exactly what a client approved and when. It drafts messages to clients in your self-chat and sends them after you approve. It doesn't draw, render or estimate.
What a WhatsApp AI assistant for interior designers handles
Design approvals with a record
Perisclaw keeps track of the approvals you're waiting on: the living-room layout you sent, the tile selection that needs a yes, the revised wardrobe drawing. Each chat gets a Needs You, Waiting or Later label, and your morning briefing lists what matters.
For a sign-off with a deadline, hand it over as a goal: "Get the Kapoors' approval on the kitchen drawings and the laminate by Friday, because the carpenter starts Monday. Follow up when useful and tell me if they ask for changes." Perisclaw follows up in their chat and comes back to you with any question it can't answer. It never agrees to a price, an extra or a binding promise without checking with you first.
When a client changes their mind, ask: "Find where Mrs Kapoor approved the light oak laminate, and show me the message." Perisclaw searches your allowed chats, including photos, PDFs and voice notes, and shows the date and the source. That settles most "I never said that" moments without a long scroll.
Contractor and vendor groups
Most projects run in a few groups: one with the client, one with the carpenter, electrician and painter, and one per supplier. Ask Perisclaw to set one up: "Create a group called Kapoor 3BHK Site with Ramesh Carpentry, Ali Electricals and Sunil the painter." It adds people directly, or sends an invite when WhatsApp won't allow a direct add.
When a group gets loud, type /claw summarize what's done, what's pending, and anything waiting on me inside it and Perisclaw answers there. To settle a choice with a client family, ask it to post a native WhatsApp poll ("Brass or matte black handles?") and it tells you who hasn't voted. For more on catching up, read how to summarize WhatsApp groups and voice notes with AI.
Site photos and voice notes
On site you don't have time to type. Send one voice note to your self-chat: "Remind me to call the glass vendor at 4, tell Ramesh the bedroom shutters need handles before Friday, and add the bathroom grout colour to the client's pending list." Perisclaw handles each part, and drafts the message to Ramesh for you to approve.
It also reads the voice notes and photos contractors send. "What did Ali say in that audio about the switchboard heights?" gets you the gist in text, translated if you ask. Connect Google Drive and say "save today's photos from the Kapoor site group to Projects / Kapoor / Site photos, named by date"; Perisclaw creates the folders and files them. It only sees the Drive folders and files it created for you, so the rest of your Drive stays out of its reach.

Payment milestones
Most interior projects bill in stages: booking advance, start of work, carpentry, handover. Keep a Google Sheet with one row per milestone and give Perisclaw the link. Then "mark the Kapoors' carpentry milestone as received" or "which projects have a milestone due but unpaid?" works from WhatsApp.
For a client chase, set it up once: "When I say the false ceiling is done, remind the Kapoors about the second milestone. If they haven't replied in three days, ask again, and tell me if there's still nothing after a week." Before the chase starts, Perisclaw shows you who it will message, how long it waits and when it stops, and it stops when they reply. Add a hard rule in Settings → Permissions, such as "never send bank details or a payment link without asking me", and it checks that rule before every action. For wording that keeps the relationship good, read how to schedule WhatsApp messages and payment reminders.
Timelines that don't slip quietly
A two-day delay from the painter becomes a two-week delay at handover if nobody notices. Ask for a weekly Automation: "Every Monday at 9, check the Kapoor site group and tell me what's behind schedule against the timeline sheet and who's waiting on whom." Connect Google Calendar and "book a site visit with the Kapoors on Saturday at 11 and invite them" goes straight onto your calendar, with the time confirmed back to you.
Keeping client homes and chats private
Clients send floor plans, photos of their home, gate codes and sometimes bank details. A few rules keep that safe:
Keep access details out of chat: ask clients for keys or codes in person or by phone, not in a chat Perisclaw can read.
Block a chat: say "never read" followed by the chat name in your self-chat, or block it under Blocked chats in Settings → Permissions. Perisclaw then can't read, search, summarise or quote it.
Use WhatsApp Chat Lock: a locked chat is treated as blocked automatically.
Your data stays in your own isolated, encrypted environment and is never used to train AI models, and in a client's or contractor's chat Perisclaw won't reveal your other conversations or files.
The same work in Bengaluru, São Paulo and Dubai
Bengaluru: a designer handling three apartment fit-outs runs separate groups with carpenters who send audios in Kannada and Hindi. Ask "what's pending across all three site groups this week?" for one answer.
São Paulo: a designer de interiores coordinates marcenaria, gesso and the client's approvals over WhatsApp, with áudios at every step. Ask for "everything the marceneiro promised in his audios this week, and what's still open".
Dubai: a villa fit-out means a fit-out contractor, furniture suppliers and a client who travels. Say whose timezone a call is in, and Perisclaw confirms ambiguous cross-timezone bookings before adding them to your calendar.
Where design and project software fit better
Need | Best fit |
|---|---|
Drawings, renders and 3D floor plans | Your design software |
Mood boards, proposals, estimates and change orders | A design-business platform such as Houzz Pro |
Formal invoices and accounts | Your invoicing or accounting software |
Approvals, contractor groups, site voice notes and milestone chases | Perisclaw |
Many designers use both: a platform for proposals and invoices, and Perisclaw for the conversations on their phone.
A word on bulk messages and your number
Don't use Perisclaw to send a festive offer to every past client. WhatsApp's Terms of Service prohibit bulk messaging and auto-messaging, so Perisclaw stops after 15 chats in one go, tells you who has and hasn't been messaged, and asks before continuing. Adding people to a group is capped at 10 at a time and 20 in one go.
Perisclaw connects as a linked device, which WhatsApp didn't build for outside tools, and WhatsApp's help centre warns that linking unofficial apps can lead to a ban. It's built for normal one-to-one and small-group work like the workflows above. Nobody outside WhatsApp can promise zero risk, so we don't.
FAQ
What is the best AI assistant for interior designers who work on WhatsApp?
If your clients and contractors already message your personal or WhatsApp Business app number, pick an assistant that works on that number. Perisclaw does, and handles approval chases, group summaries, site voice notes, Drive filing and milestone reminders. For drawings, proposals and invoices, keep your design and business software.
Can it prove what a client approved?
It can find the message. Ask for where a client approved a design and Perisclaw shows the message, the date and the chat it came from. It doesn't create a signed contract, so keep formal sign-offs in your proposal or contract tool.
Can it manage my contractor WhatsApp groups?
Yes. It can create groups, add or remove people with your OK, summarise what's been done, post polls and answer questions with /claw inside the group. Removing people or leaving a group always needs your explicit approval.
Will it message clients or contractors on its own?
Not unless you set it up. By default it drafts each message in your self-chat and sends when you approve; scheduled messages and chases you create go out as planned.
Does it understand voice notes in Hindi, Portuguese or Arabic?
Yes. Perisclaw understands most widely used languages, including voice notes, and can translate a contractor's audio into English text.
