WhatsApp AI assistant for travel agents: itineraries, hotel confirmations and payment follow-ups on your own number

It's 11pm and a family of five lands in Dubai in nine hours. The hotel in Goa still hasn't confirmed the extra bed for their next leg, the client's sister wants to know if the airport pickup is at Terminal 1 or 3, and the balance for the Bali group trip was due yesterday. Every one of these threads is in WhatsApp, mixed in with forty other chats, and you're the only one who knows which ones can't wait until morning.
A WhatsApp AI assistant for travel agents is most useful for the follow-ups around each booking: supplier confirmations, payment chases, document reminders and the "what time is my pickup?" questions. Perisclaw runs on your own WhatsApp or WhatsApp Business app number as a linked device. It summarises client and supplier chats, tracks which confirmations and payments are still open, chases them for you, schedules messages in the right timezone and answers questions from the chat history. It drafts messages to clients in your self-chat and sends them after you approve. It doesn't book flights or hotels, and it isn't a place to collect passport numbers.
What a WhatsApp AI assistant for travel agents handles
Itineraries clients can actually find
Clients ask for the same details again because the itinerary PDF is buried under 200 messages. Ask Perisclaw to file each final version in Google Drive: "Save the Sharma itinerary to Trips / Sharma / Bali Dec 2026." It only sees the Drive folders and files it created for you, so the rest of your Drive stays out of its reach.
When a client asks "what time is the ferry on day 4?", type /claw what time is the ferry on day 4? in their chat and Perisclaw answers there from the itinerary and messages in that chat. Or ask in your self-chat, "what did I tell the Sharmas about the Ubud transfer?", and it searches your allowed chats, including PDFs, photos and voice notes, and shows the source.

Group trips without reading every message
For a group trip, ask Perisclaw to set up the client group: "Create a group called Bali Dec 2026 with the Sharmas, the Kapoors and the Mehtas." It adds people directly, or sends an invite when WhatsApp won't allow a direct add. To settle a choice, ask it to post a native WhatsApp poll ("Sunset cruise on day 3 or day 5?") and it tells you who hasn't voted.
Each evening, ask: "Summarise the Bali group: questions waiting on me and changes people asked for." For more on summaries, read how to summarize WhatsApp groups and voice notes with AI.
Supplier and hotel confirmations
Hotels, transfer companies and guides confirm in their own chats, often as a voice note or a photo of a booking slip. Perisclaw picks up what each supplier still owes you and labels those chats Waiting, so "which suppliers haven't confirmed for the Sharma trip?" gets you a list instead of a scroll.
For a confirmation with a deadline, hand it over as a goal: "Get written confirmation of the extra bed and the airport pickup from Hotel Sea Breeze by Thursday. Follow up when useful and tell me if they say no." Perisclaw follows up in their chat and comes back to you if the hotel asks for something it can't decide. It never agrees to a price or a binding promise without checking with you first.
Payment follow-ups
Keep a Google Sheet of deposits and balances and give Perisclaw the link. Then "log the Kapoors' second instalment as received" or "who still owes a balance for the Bali trip?" works from WhatsApp. For a chase, set it up once: "Remind the Mehtas about the balance on Monday. If they haven't paid or replied by Thursday, ask again, and tell me if there's still nothing by Saturday." Before it starts, Perisclaw shows you who it will message, how long it waits and when it stops, and it stops when they reply.
Add a hard rule in Settings → Permissions, such as "never send a payment link or bank details without asking me", and it checks that rule before every action. For wording that keeps the relationship warm, read how to schedule WhatsApp messages and payment reminders.
Document reminders, without collecting documents in chat
You can remind clients about documents without asking them to send the documents to you on WhatsApp. Schedule the nudge, not the collection: "On 1 February, remind the Iyers that their Schengen visa appointment needs booking now, and ask them to upload their passport copies to our booking portal, not here." Schengen short-stay applications can be lodged up to six months before travel and no later than 15 days before, so a reminder at the start of that window saves a last-minute scramble.
Ask clients to confirm their passport has the validity their destination requires by replying "done", not with the number. If one sends a passport photo anyway, move it to your booking system and delete it from the chat.
Time zones
Clients fly across time zones and suppliers sit in a third one. When you schedule a message, say whose time you mean: "Send the Iyers their Paris pickup details at 8am Paris time on the 14th." Perisclaw repeats the schedule back, and if a date, time or timezone is unclear, it asks instead of guessing. For a delay, ask "what's the status of EK 512 today?" and it checks the live web and cites where the answer came from.
Keeping client documents and chats safe
No passport, visa or card numbers in chat: ask for uploads to your booking system, or bring documents to the office. Perisclaw reads the chats you allow, so anything typed into those chats is processed by your assistant.
Block a chat: say "never read" followed by the chat name in your self-chat, or block it under Blocked chats in Settings → Permissions. Perisclaw then can't read, search, summarise or quote it.
Use WhatsApp Chat Lock: a locked chat is treated as blocked automatically.
Your data stays in your own isolated, encrypted environment and is never used to train AI models, and in a client's chat Perisclaw won't reveal your other conversations or files. For more, read how a private AI assistant for WhatsApp handles your data.
The same work in Delhi, Bogotá and Dubai
India: a Delhi agent sells Thailand and Dubai packages to families who send voice notes in Hindi and English. Ask "what did Mr Bansal say in that audio about the hotel?" and get it in text, translated if you ask.
Latin America: an agencia de viajes in Bogotá or Mexico City coordinates Cancún packages and Europe trips over WhatsApp, with paquetes paid in cuotas. Ask "which clients have a cuota due this week?" from the tracker sheet.
UAE: a Dubai agent handles inbound tourists and outbound summer trips across three time zones. Name the timezone in every scheduled message, and let Perisclaw chase the desert-safari operator for pickup times.
Where travel software and the Business API fit better
Need | Best fit |
|---|---|
Building branded itineraries and proposals | An itinerary tool such as Travefy |
Booking flights and hotels | Your GDS, consolidator or supplier portals |
Collecting passports and traveller documents | Your booking system or a secure client portal |
The same offer to your entire client list | A WhatsApp Business API tool, paid per template message |
Your confirmations, payment chases, reminders and client questions | Perisclaw |
A word on bulk messages and your number
Don't use Perisclaw to send a festive-season offer to every past client. WhatsApp's Terms of Service prohibit bulk messaging and auto-messaging, so Perisclaw stops after 15 chats in one go, tells you who has and hasn't been messaged, and asks before continuing. Adding people to a group is capped at 10 at a time and 20 in one go; for a large tour group, it offers the invite link so people join by choice.
Perisclaw connects as a linked device, which WhatsApp didn't build for outside tools, and WhatsApp's help centre warns that linking unofficial apps can lead to a ban. It's built for normal one-to-one and small-group work like the workflows above. Nobody outside WhatsApp can promise zero risk, so we don't.
FAQ
Is there an AI assistant for travel agents who work on WhatsApp?
Yes. Perisclaw works on the number your clients and suppliers already message, chases confirmations and payments, schedules reminders in the right timezone, answers itinerary questions from the chat and files documents to Drive. It doesn't book travel.
Can it collect passport details from clients?
It can read what clients send, but WhatsApp isn't the place for passport details. Use Perisclaw to remind clients to upload documents to your booking system, and keep passport, visa and card numbers out of chat.
Will it message my clients on its own?
Not unless you set it up. By default it drafts each message in your self-chat and sends when you approve; scheduled messages and chases you create go out as planned.
Can it send a holiday offer to all my clients?
No. It stops after 15 chats in one go and asks before continuing, because broadcast-style sending can get a real number flagged. Use a Business API tool or a WhatsApp channel for offers.
