WhatsApp AI assistant for accountants: chase documents, remind clients and file to Drive before every deadline

It's the last week before the filing deadline and you have 40 clients who haven't sent everything. One sent three bank statements as blurry photos and forgot the fourth, and another promised the rent receipts "tonight" on Monday. All of it is in WhatsApp, and the checklist of who owes what lives in your head and a half-updated spreadsheet.
A WhatsApp AI assistant for accountants is most useful for the chasing and filing around the work, not the accounting itself. Perisclaw runs on your own WhatsApp or WhatsApp Business app number as a linked device and helps CAs, accountants and bookkeepers chase missing documents, remind clients before deadlines, save the files they send into the right Google Drive folder and keep a tracker sheet up to date. It doesn't prepare or file returns, it makes no claims about any financial or tax-data compliance rule, and you can block any chat so it can't read it at all.
What Perisclaw is not built for
Read this before you connect the number your clients use.
It isn't accounting or tax software: it doesn't keep books, compute tax or file anything with a tax authority. Keep that in Tally, Zoho Books, QuickBooks, Xero or your filing software.
It makes no compliance claims for financial data: Perisclaw's security certification is ISO 27001, a general information-security standard. Its docs don't describe any certification for regulated financial or tax data. If your professional body's confidentiality rules, India's DPDP Act, GDPR or a client contract limits which tools can see client data, check before you let any outside tool read those chats.
It reads the chats you allow: by default, Perisclaw can read your chats in order to do its work. Your data stays in your own isolated environment, is encrypted, and is never used to train AI models. Statements and IDs in readable chats are still processed by your assistant.
Ask for documents, not numbers in a message: don't ask clients to type bank account numbers, card details or full tax IDs into chat. If a chat has to carry them, lock it. If your firm or a client agreement doesn't allow client files in outside tools or Google Drive, skip the Drive filing below and keep those chats blocked.
It's not a place for passwords: never send tax portal logins, banking passwords or OTPs through a chat it can read. Perisclaw has a browser that can sign in to websites, but a client's government portal login isn't something to hand over.
How to keep sensitive chats out of its reach
Block a chat: say "never read" followed by the chat name in your self-chat, or block it under Blocked chats in Settings → Permissions. Perisclaw then can't read, search, summarise or quote that chat.
Use WhatsApp Chat Lock: lock a chat in WhatsApp and Perisclaw treats it as blocked automatically, including in background work. Take the lock off and access comes back.
Hide one message with /ignore: add
/ignoreto a message you send and Perisclaw won't act on it, return it in searches or write it to logs.Write hard rules: in Settings → Permissions, add rules it checks before every action, such as "never send a client's documents to anyone except that client" or "never send a payment link without asking me".
When Perisclaw acts in a client's chat, it treats that client as an outsider: it won't reveal your other conversations, files or calendar to them, even if they ask. It never commits money or agrees to a fee without checking with you. For the wider privacy picture, read how a private AI assistant for WhatsApp handles your data.
What a WhatsApp AI assistant for accountants handles well
Document chasing before deadlines
Hand over a client's missing papers as a goal instead of setting five reminders: "Get Mr Mehta's March bank statement, his rent receipts and the Form 16 from his employer by Thursday. Follow up when useful and tell me if he says something won't be ready." Perisclaw works out what's still missing from the chat, follows up, keeps track of what arrives and comes back to you when it needs a decision.
Before a chase starts, it shows you who it will message, how long it waits and when it stops, and it stops when the client replies. Ask any time: "Which clients am I still waiting on documents from, and what's missing for each?"
Be realistic about volume. If you send the same message to many clients, Perisclaw stops after 15 chats in one go, tells you who has and hasn't been messaged and asks before continuing. For a deadline reminder to 300 clients, a practice tool with a client portal or a Business API reminder service is the better choice. Perisclaw is best at the 20 or 40 clients who need a personal nudge about their own missing papers.
Filing documents to Drive
Connect Google Drive and say "save everything Mr Mehta sent this week to Clients / Mehta / FY 2025-26, named by document type". Perisclaw creates the folders, files the documents and renames them so they're findable later. It only sees the Drive folders and files it created for you, so the rest of your Drive stays out of its reach.

A tracker sheet that updates itself
Keep your deadline checklist in Google Sheets, one row per client, and give Perisclaw the link. Then "mark Mehta as statements received" or "which clients in the tracker still have no Form 16?" works from WhatsApp. An Automation can keep the sheet current: "When a client in the tracker sends a document, update their row and tell me each evening."
Deadline and fee reminders
For one client: "On the 10th at 10am, remind Priya that her quarterly instalment is due on the 15th and ask if her income has changed." For your own fees, schedule a polite note after the work is done and a chase that stops when they pay or reply. For wording that doesn't sour the relationship, read how to schedule WhatsApp payment reminders.
Answering "what did I send you last year?"
Describe what you remember, "the message where Mr Mehta explained the property sale last year", and Perisclaw searches your allowed chats, including PDFs, photos and voice notes, and shows the source. Replies to clients wait as drafts in your self-chat until you say send. If clients also email you, connect Gmail and new mail shows up in your tasks beside your WhatsApp work; an email reply waits as a draft until you say send.
The same workflows in India, the UAE and Latin America
India: a CA practice juggles ITR season, GST returns and TDS questions from the same clients, in English, Hindi and Gujarati or Tamil. Ask "who still owes me Form 16 or AIS details?" and approve the nudges in one go.
UAE: bookkeepers in Dubai and Abu Dhabi chase trade licence copies, bank statements and invoices for VAT returns and corporate tax, often from owners travelling. Perisclaw handles a client's Arabic or English voice note and turns it into a list of what they've sent.
Mexico and Brazil: a contador in Mexico chases CFDI invoices and SAT paperwork; in Brazil, notas fiscais and IRPF documents arrive as photos and áudios. Ask for "the documents the client said in the audio they'd send, and which ones have arrived".
Where accounting software and the Business API fit better
Need | Best fit |
|---|---|
Books, tax computation, filing | Your accounting and filing software |
Secure document collection from hundreds of clients | A practice management tool with a client portal |
The same deadline reminder to your entire client base | A WhatsApp Business API reminder tool, paid per template message |
Saved replies and an away message during filing season | The free WhatsApp Business app |
Your own chasing, filing, reminders and client questions | Perisclaw |
A word on bulk messages and your number
WhatsApp's Terms of Service prohibit bulk messaging and auto-messaging, which is why Perisclaw stops after 15 chats in one go and asks before continuing.
Perisclaw connects as a linked device, which WhatsApp didn't build for outside tools, and WhatsApp's help centre warns that linking unofficial apps can lead to a ban. It's built for normal one-to-one work like the chasing above. Nobody outside WhatsApp can promise zero risk, so we don't.
FAQ
Is there an AI assistant for CAs and accountants who get client documents on WhatsApp?
Yes. Perisclaw works on the number your clients already message and chases missing documents, files them to Drive, updates your tracker sheet and reminds clients before deadlines. It doesn't do the accounting or filing, and you can block any client's chat.
Is it safe to use with client financial data?
Your data stays in your own isolated, encrypted environment, isn't read by Perisclaw's team and is never used for AI training, and Perisclaw is ISO 27001 certified. It makes no claim to meet any financial or tax-data regulation, so check your own obligations and block chats you shouldn't share.
Can it file returns or log in to the tax portal?
It doesn't prepare or file returns. Its browser can sign in to websites, but don't give it a client's tax portal login; keep filing in your own software and portal. Perisclaw handles the WhatsApp side: collecting, filing and reminding.
Can it send a deadline reminder to all my clients at once?
No. It stops after 15 chats in one go and asks before continuing, because broadcast-style sending can get a real number flagged. Use a Business API reminder tool for that.
